Switch to HotelConnect24

Change Your Hotel Technology. Not Your Booking Reality.

Moving from an existing channel manager or booking setup should be a controlled migration — not a sudden switch. HotelConnect24 is designed around preparing the new environment first, reconciling existing reservations and only then activating supported connections.

The migration principle

Build First. Verify Second. Switch Last.

A live hotel already has reservations, inventory commitments and commercial connections. Those obligations do not disappear because the underlying software changes.

!
Do not disconnect a live channel manager before the replacement environment is ready. Existing reservations, future availability, rate mappings and distribution connections should be reviewed before any live cutover. The exact migration process depends on the systems and channels currently used by the property.

03
Reconcile Check existing bookings and inventory.
04

Step 01

Understand Exactly What Your Hotel Uses Today.

Before migrating anything, document the current operating environment. The goal is to understand not just which software you pay for, but how reservations and inventory actually move through your hotel.

✓
Current channel manager Identify the platform currently controlling connected inventory.
✓
Current booking engine Understand how guests book directly through your own website.
✓
Connected sales channels List the external distribution relationships currently in use.
✓
Upcoming reservations Understand what has already been sold for future dates.
✓
Rate and room mappings Document how hotel inventory corresponds with external systems.

Step 02

Build HotelConnect24 Before You Remove the Existing System.

Where technically and operationally practical, the safer approach is to prepare the HotelConnect24 property environment alongside the existing setup before the final switch.

What needs to be reconciled?

The New System Must Reflect the Hotel You Actually Operate.

A migration is not complete because the account exists. The key operational information needs to make sense in the new HotelConnect24 environment.

Room Types Make sure every relevant accommodation category is represented correctly.
Room Counts Confirm the inventory available within each room or unit category.
Rate Plans Recreate the commercial products the hotel genuinely intends to sell.
Future Reservations Understand existing bookings that already consume future inventory.
Availability Make sure available rooms account for existing commitments.
Booking Policies Review relevant booking, cancellation and stay conditions.
Distribution Routes Determine which supported sales channels should continue after migration.
Direct Booking Route Prepare the hotel website's future booking path before changing the existing one.
Step 03

Existing Reservations Need Special Attention.

Future bookings represent real guests and real room commitments. They cannot simply be ignored when the system controlling inventory changes.

✓
Identify every relevant future booking Know which rooms have already been sold and for which dates.
✓
Account for committed inventory Existing reservations must be reflected when determining sellable availability.
✓
Keep guest records accessible Do not lose operational access to information needed to service upcoming stays.
✓
Avoid duplicate inventory A poorly planned overlap can risk selling the same room capacity twice.

✓

✓

✓

Step 04–06

Prepare the Cutover Before You Change Live Distribution.

Once HotelConnect24 has been configured and the hotel's current booking position is understood, the supported distribution transition can be planned.

✓
Confirm supported connections Know which current distribution routes can be activated through the new environment.
✓
Verify rates and inventory immediately before cutover Use current hotel information rather than an outdated setup snapshot.
✓
Activate in a controlled sequence The appropriate order depends on the hotel's actual connection architecture.
✓
Monitor immediately after activation Check availability, rates and incoming reservations closely after the switch.

01
Final inventory check Confirm the live hotel position.
02
Confirm channel mappings Verify supported room and rate relationships.
03
Activate new connection path Follow the required process for the relevant integration.
04
Verify published availability Check that the expected inventory is being offered.
05
Monitor booking flow Confirm supported reservations return correctly.
Common migration risks

Most Migration Problems Are Easier to Prevent Than to Repair.

The safest migration is one in which known risk areas are reviewed before they can affect live bookings.

!

Incorrect Availability

If existing reservations are not accounted for, a new system may incorrectly show inventory as available.

!

Room Mapping Errors

A room category in one system may not correspond automatically to the correct accommodation product elsewhere.

!

Rate Mismatches

Different systems may use different rate-plan structures, naming or restrictions.

!

Premature Disconnection

Removing an existing system too early can interrupt a live distribution workflow.

!

Lost Reservation Context

Hotel teams still need access to the operational information associated with bookings made before migration.

!

Unverified Go-Live

A connection being technically active does not automatically mean rates, inventory and booking flow are correct.

After the switch

The Migration Is Not Finished the Moment the New System Goes Live.

The first period after activation should be used to verify that the hotel is behaving as expected across inventory, bookings and supported distribution.

01 Check Rates Verify that the prices being offered match the hotel's intended commercial setup.
02 Check Availability Confirm the correct room inventory is available for the relevant dates.
03 Check Reservations Monitor supported incoming bookings and reservation details.
04 Check Direct Booking Test the guest journey from the hotel website through to the intended booking route.
05 Review Channel Status Make sure each intended supported connection is operating as expected.
06 Retain Legacy Records Keep access to historical information where operational or legal retention requires it.
07 Train Relevant Staff Make sure the team knows where to find important everyday functions in HotelConnect24.
08 Optimise Later Stabilise the core setup before adding unnecessary complexity or new connections.

Different Hotels Start from Different Technology Environments.

A hotel starting from a spreadsheet, an established channel manager or a multi-system environment may require a different migration approach.

Switching FAQ

Questions About Moving an Existing Hotel to HotelConnect24.

Can I move from another channel manager to HotelConnect24?
HotelConnect24 is intended to support hotels moving from existing systems, but the migration path depends on the property's current room structure, reservations, booking channels and the specific integrations supported by HotelConnect24 at that time.
Should I cancel my existing channel manager before creating HotelConnect24?
Normally, a live hotel should first understand its existing environment and prepare the replacement setup before removing a system that currently manages active inventory or distribution. Contractual cancellation timing is separate from the technical cutover and depends on the existing provider agreement.
What happens to my existing reservations?
Existing future reservations remain real commitments regardless of which system created them. They must be accounted for when establishing future room availability, and the hotel should retain the information needed to service those bookings.
Can HotelConnect24 automatically import everything from my old system?
Import and migration capability depends on the source system, available APIs, export formats and HotelConnect24's supported functionality. Hotels should not assume that every historical record or configuration can be imported automatically.
Can I run my old system and HotelConnect24 at the same time?
It may be practical to prepare HotelConnect24 while an existing system remains live, but two systems should not independently control the same live inventory without a technically safe and deliberately designed configuration. Parallel preparation and parallel live distribution are not necessarily the same thing.
How do I avoid overbooking during migration?
The hotel's existing reservations and committed inventory need to be reconciled before the new availability position becomes live. Channel activation and deactivation also need to be coordinated so that inventory is not unintentionally sold through conflicting systems.
Will my hotel website need to change?
Not necessarily. Where the existing website remains suitable, HotelConnect24's direct-booking route can be designed to complement it. The exact implementation depends on the booking functionality being activated.
Do I need technical staff to switch?
That depends on the complexity of the hotel's current systems and connections. A smaller independent property may have a comparatively straightforward setup, while a more integrated environment may require technical coordination.
When is the migration considered complete?
A migration should only be considered operationally complete once the intended HotelConnect24 configuration is active, rates and availability have been verified, supported booking flows are operating as expected and the hotel team can access the information needed for normal operations.
